LeaseFlow is a product of Impactful Digital Media, LLC (DBA Impactful Apartment Marketing), an Olathe, Kansas company. This policy describes what information we collect when you use LeaseFlow, why we collect it, and how it is handled.

This policy applies to people who:
- Visit getleaseflow.ai or our application at app.getleaseflow.ai
- Sign up for or use the LeaseFlow application
- Contact us via email about LeaseFlow
Information we collect
Account information. When you create an account, we collect your name, email address, and the organization or property management company you represent. Authentication is handled by Clerk, our third-party authentication provider.
Property and operational data. When you connect your property management system, CRM, marketing platforms, or analytics tools (such as Google Analytics, Google Ads, or SE Ranking) to LeaseFlow, we receive and store the operational data those systems provide. This data belongs to your organization and is used only to power the LeaseFlow features you have access to.
Usage information. We collect standard web logs (pages visited, features used, errors encountered) to operate and improve the product.
How we use information
- To provide the LeaseFlow application and the analytics features you sign up to use
- To authenticate your account and protect access to your data
- To respond to your questions or requests
- To diagnose and resolve technical issues
- To improve the product
We do not sell your information. We do not use your operational data to train machine learning models for third parties.
Google API services
LeaseFlow uses Google APIs (Google Analytics Data API, Google Ads API) to retrieve marketing performance data on your behalf when you explicitly connect those services. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically: we only access Google account data you authorize us to access, we only use that data to provide and improve user-facing features within LeaseFlow, and we do not transfer the data to third parties except as necessary to provide the service or as required by law.
How long we retain information
We retain your account information for as long as your account is active. Operational and snapshot data is retained for as long as it is useful for the reporting features you use. If you ask us to delete your account, we will delete or anonymize associated personal data within 30 days, except where retention is required by law.
Security
We use industry-standard practices to protect your information, including encrypted transport (HTTPS), encrypted credentials at rest, and access controls. No system is perfectly secure, but we take this responsibility seriously.

Your rights

Changes to this policy
We may update this policy from time to time. The effective date at the top will reflect the most recent update.
